Volunteer Opportunities
The Board invites everybody to develop a sense of true ownership in this cooperative endeavor.
One way to develop ownership is to volunteer to help with the chores. We are still obviously in the "building our infrastructure" phase. Here's some things we need help with. Unless a specific contact person is listed, you can contact Sandra at volunteer@oklahomafood.coop or Robert Waldrop at 405-613-4688, or any board member about what you want to do.
- Online ordering software development.
- Planning for future "Celebration of Oklahoma Food" events and then presenting those events (which involves publicity, cooking, menus, producer relations and arrangements, cleanup afterwards).
- Accounting assistance. Contact Jonalu Johnstone, jonaluj@cs.com.
- Graphic design. We could use some help developing written materials we need for our activities, including documents directed at members and outreach/publicity materials.
- Outreach to potential customer and producer members. We especially need a "speaker bureau" - members who are able and willing to give talks to groups.
- Help with "Delivery Day": (1) volunteers are needed to help receive the food orders from the producers and put the customer orders together. (2) volunteers to make deliveries to drop-off places, (3) volunteers to help at the drop-off places, (4) volunteers to make home deliveries. Members doing these volunteer activities will receive these benefits:
- $7.00/hour credit on purchases
- 36 cents/mile for drivers to drop-off points in the Oklahoma City, Edmond, Norman areas.
- Home delivery drivers will receive the $7.50 home delivery fee in cash ($5.00 fee for deliveries to the elderly/disabled/homebound).
- Help with Finances: Treasurer, Cashiers, and other options
All these positions (except Treasurer) would report to the Treasurer.
Delivery Day Cashier
- Print producer invoices by customer.
- Correct printed producer invoices so that the invoices accurately
reflect items actually delivered by the producer. Change final price due
for customer to pay.
- Correct both copies of customer invoices affected by changes in #2 (I
wonder if these should all be done before orders are sent out? Currently,
we rely on the outlying areas to correct their own invoices).
- Write checks to producers, based on adjusted invoices, and secure legal
signature.
- Must be present at the Delivery Day OKC location.
Invoice Adjuster (1 per area: Tahlequah, Tulsa, Norman, and OKC)
- Receive printed customer invoices from order pickers. Record any
changes needed on both invoices, based on missing items, etc.
- Enter adjustments from #1 into computer program on-line.
Work Credit Coordinator
- Receive and approve work credit requests.
- Maintain record of work credits and reported volunteer hours by month
and member.
- Report to Treasurer work credits that members want to apply to their bills.
Banquet Cashier (Part of the banquet team as advertised by Robert.)
- Track dinner reservations form customer orders and email.
- On day of the banquet, obtain change, cash box, and list of
reservations.
- Collect payments for dinners, counting the number
admitted.
- Turn over cash, checks, and accounting to Treasurer or
Collector.
Collector (should be in OKC area)
An argument can be made that the person who receives monies should be
different from the one authorized to sign checks. That's been true in
churches I've been associated with, and we need to have similar safeguards.
- Receive customer payments, and other monies.
- Enter payments on "Customer Totals" table in on-line computer program.
- Make deposits at bank.
- Provide accounting of payments and deposits to Treasurer, in accord with his/her directions.
Treasurer
- Track financial expenditures and income, and maintain financial records in accord with accounting standards.
- Pay bills and invoices.
- File required reports, including taxes.
- Report to Board and Membership, in consultation with Finance Committee.
What else? Y'all probably have lots of skills and ideas that we don't know about, so feel free to volunteer yourself for something we don't even know we need yet.
